Tracking absences

Many companies today use electronic absence tracking software to generate reports summarizing employee absences. However, others continue to track absences manually. There is no one universally used manual tracking form. Whatever method is used for tracking absences, companies that are covered by the FMLA must specifically designate all absences that are charged against the employee’s FMLA entitlement as FMLA leave. Accordingly, some system needs to be put in place to ensure that, in cases where vacation, PTO, short-term disability and other paid time off is used for FMLA purposes, the absence also is designated as FMLA leave.

A model form is provided under the Templates tab at the top of this page. The form, as drafted, contains codes for common types of absences; however, it should be customized to reflect the company’s particular practices.

Absence requests

Most companies still require that employees make formal requests for time off, vacation and other leave. Typically, these requests are made by electronic or hard copy.
